COMPENSATION: $53,630 - $63,990 annually prorated
CONTRACT DURATION: November 2024 – November 2025

To help fulfill its mission, LOFT is hiring an Administrative Coordinator

Job Summary
The Administrative Coordinator works independently performing a wide range of complex and confidential administrative and coordinating tasks. The Administrative Coordinator assists the VP Client Care and Experience and Stream Directors in the day-to-day operation of LOFT program by providing administrative support services, while contributing to LOFT’s communication activities as required.
What You Will Do
  1. Director Support
  • Assist as required in the completion of their work tasks
  • Draft memos, reports, minutes or other correspondence as directed
  • Ensure the Directors emails and other correspondence are sorted, prioritized and directed to appropriate individuals in their absence
  • Coordinate and make all arrangements for required meetings
  • Manage the Directors’ schedule, prepare for meetings
  • Monitor Directors’ schedule and communicate preparation requirements to appropriate other staff as needed
  • Complete, obtain approval for, and submit, expenditures as required
  1. Leadership Team Support
  • Prepare meeting agendas
  • Coordinate logistics for meetings including, refreshments, material dissemination
  • Support in preparing for meetings, and assisting Committees as required
  • Record and disseminate Committee meeting minutes as indicated
  • Prepare correspondence and reports as requested
  • Maintains the Directors’ confidential files, including confidential human resources and financial documentation in an appropriate manner.
  • Provides administrative support to the Client-care Leadership if directed
  • Provides communication support between the organization and community contacts ensuring all follow-up tasks are completed following meetings.
  1. Communications and Public Affairs Support
  • Draft memos, reports, or other correspondence as directed
  • Issue communication notices as directed
  • Participate in reception duties as required engaging with service users and community partners
  • Assist as required in network communication activities
  • Assist as appropriate with government relations
  • Provide information to relevant departments at LOFT as required such as Finance and Development
  1. Organizational Support
  • Provide administrative support as required on special projects
  • Participate as a member of the Client-care team to accomplish LOFT strategic priorities
  • Share information as required with Client-care leadership and program
  • Work according to all agency policies and procedures
  • Contribute to LOFT’s commitment to the Health and Safety program
  • Supports LOFT approaches to equity and anti-racism
What You Bring:
Must Have:
  • Post-secondary education in business administration, communications, or a related field, or equivalent in education/experience
  • Extensive administrative experience with 2 or more years’ experience in senior administrative roles
  • Strong competency computer skills- Microsoft office, Visio
  • Ability to utilize virtual platforms
  • Highly professional and comfort working with people who experience mental health and addiction issues
  • Highly developed Customer service skills
  • Excellent verbal and written communication skills
  • Strong team player
  • Strong planning and organizational skills, interpersonal skills, problem solving skills and judgement
Work Environment:
  • Occasional work beyond normal business hours.
  • Occasional travel to various LOFT program sites
  • Prolonged sitting, standing and repetitive movement
  • Prolonged periods of sustained audio and visual attention; especially reading text and graphics from paper, LED/LCD screens and projected media
